Plymouth Center for the Arts is seeking an Accounting Assistant/Associate to manage its day-to-day financial activities, ensuring the timely and accurate financial management of the organization.

Job Logistics

- Part-time (10-15 hrs/week)
- 1099 contractor relationship (non-employee)
- Location – on-site min 4 hrs per week; balance can be remote
- Needs E&O policy (self-insured)
- Pay range: $25-35/hr based on experience
- Benefits: none
- Reports to Treasurer

Responsibilities

- Track revenue & expenses by Revenue/Cost Center or Project
- Manage transactions from POS/e-Commerce and CRM systems, including automated interfaces
- Ensure accounts are current and accurate
- Prepare monthly, quarterly, and annual reports for the Finance Committee and Board of Directors
- Prepare quarterly P&L reports for individual Revenue/Cost centers
- Prepare P&L reports for individual projects

Accounts Payable:

- Maintain accurate vendor accounts
- Calculate commission percentages according to established policies and contracts
- Process payments to vendors according to payment terms, ensuring all bills are paid on time and allowing for payment discounts where applicable
- Process approved reimbursements

Accounts Receivable:

- Reconcile daily sales & make daily deposits, as required
- Reconcile the cash drawer of cash, checks and credit card payments
- Manage automated deposits from POS and e-commerce systems, resolving irregularities
- Manage account invoices
- Confirm accurate refunds and sales tax application
- Communicate to the customer when issues arise with a payment
- Ensure discounts are taken appropriately
- Ensure sales tax laws are followed
- Communicate with customers when the accounts are past due
- Answer customers questions regarding billing and statements

Qualifications:

- Bachelor’s degree in accounting, business, or a related field
- Strong working knowledge of accounting principles, project accounting, financial statements, and accounting systems
- Experience with non-profit (5013C) accounting practices & requirements
- Proficient in Microsoft365, with advanced MS Excel skills
- Advanced skills with Quickbooks Online
- Experience with automated interfaces between Quickbooks Online and CRM, e-commerce and POS systems.
- Able to solve complex problems and concepts
- Strong organizational, interpersonal, verbal, and written communication skills
- Self-motivated, proactive, ability to prioritize, and a team player.
